1. Who we are

Spot On Technologies Pty Ltd (“Spot On”, “we”, “us” or “our”) operates this website and provides plantation shutter manufacturing, project and support services.

2. Information we collect

Depending on how you deal with us, we may collect your name, company, email address, phone number, suburb, postcode, state, project type, project timing, system preferences, order number, enquiry content and records of our communications.

If you use the project form, you may also provide photos of windows, doors, rooms, plans or other project details. You should avoid including people, identification documents, access codes, financial information or other unnecessary sensitive information in an uploaded image.

Our web server, security services and website analytics may record technical and usage information such as IP address, browser and device type, request time, referring page, pages viewed, selected link and button interactions, and error or security logs.

3. How we collect information

We collect information directly when you submit a form, call us, visit the factory or showroom, request a quote, place or support an order, apply for trade supply, or otherwise communicate with us. We may also receive project information from an authorised builder, installer, retailer, designer or other project participant.

4. Why we use it

We use personal information to:

• assess, route and respond to enquiries;
• review project suitability, plans, photos and likely system requirements;
• prepare quotations, specifications and orders;
• manufacture, deliver, install or support supplied products;
• manage trade relationships, warranties, complaints and replacement parts;
• maintain website security and prevent spam or misuse; and
• meet legal, accounting, insurance and regulatory obligations.

5. Disclosure and service providers

We may disclose relevant information to employees and contractors, approved installers or trade partners involved in the project, freight and logistics providers, professional advisers, insurers, IT hosting, website security, website analytics and communication providers (including Google Analytics), and regulators where required by law.

We disclose only what is reasonably needed for the relevant purpose. Some technology providers may operate infrastructure outside Australia; their handling is governed by their contractual and privacy arrangements and applicable law.

6. Project photos and file security

Uploaded photos are stored outside the publicly browsable website directory. Access is restricted through unguessable enquiry links and operational permissions. No internet transmission or storage method is completely secure, but we use reasonable technical and organisational measures for the nature of the information submitted.

7. Retention

We keep enquiry, project, order and support records for as long as reasonably needed for the purpose collected, warranty administration, business records, dispute handling and legal obligations. Information no longer required is deleted or de-identified where practical.

8. Cookies and website data

We use Google Analytics 4 to understand website traffic and interactions, including page views, clicks to the DIY Plantation Shutters store, clicks on the project enquiry button, clicks on telephone links and successful project enquiry submissions. Analytics events do not include the name, email address, phone number, message or photos entered in the project enquiry form.

Google Analytics may use cookies and similar online identifiers and may process analytics data outside Australia under Google’s own privacy and security arrangements. You can restrict or delete cookies using your browser settings or use Google’s analytics opt-out tools. Blocking analytics does not prevent you from viewing the website or submitting an enquiry. 9. Access, correction and complaints

You may ask to access or correct personal information we hold about you, or raise a privacy concern. Contact us using the website enquiry form or call 03 8522 7775. We may need to verify your identity before providing access.
